The SUM function is used in Excel to calculate the total of numbers.
In the provided notes, SUM is used in practical calculations such as Course Fee, Admission Fee, Prospectus Fee, Examination Fee and other fee-related calculations.
For example, if different fees are entered in cells:
Course Fee = ₹20,000
Admission Fee = ₹1,000
Prospectus Fee = ₹200
Examination Fee = ₹800
These amounts can be added together to calculate the Total Fee.
The most common method is to use SUM with a continuous range of cells.
=SUM(B2:B5)
Here:
B2:B5
↓
B2
B3
B4
B5
Excel adds all the values from B2 to B5.
| Cell | Amount |
|---|---|
| B2 | ₹20,000 |
| B3 | ₹1,000 |
| B4 | ₹200 |
| B5 | ₹800 |
Formula:
=SUM(B2:B5)
Result:
₹22,000
You can also specify individual cells inside the SUM function.
=SUM(B2,B3,B4,B5)
This tells Excel to add the values from:
B2 + B3 + B4 + B5
B2 = ₹20,000
B3 = ₹1,000
B4 = ₹200
B5 = ₹800
Formula:
=SUM(B2,B3,B4,B5)
Result:
₹22,000
+The same values can also be added without using the SUM function.
=B2+B3+B4+B5
Excel directly adds the values stored in these cells.
20,000 + 1,000 + 200 + 800
↓
₹22,000
SUM can also be used when the values are arranged horizontally across columns.
For example:
| B2 | C2 | D2 | E2 |
|---|---|---|---|
| 20,000 | 1,000 | 200 | 800 |
Formula:
=SUM(B2:E2)
Result:
₹22,000
So SUM works with both:
Vertical Range → =SUM(B2:B5)
Horizontal Range → =SUM(B2:E2)
When required, multiple ranges can be included in one SUM formula.
=SUM(B2:B5,D2:D5)
This adds the values from both ranges:
B2:B5
+
D2:D5
This method is useful when the required data is stored in separate ranges.
| Method | Formula | Use |
|---|---|---|
| Range | =SUM(B2:B5) |
Adds a continuous range |
| Individual Cells | =SUM(B2,B3,B4,B5) |
Adds selected cells |
| Direct Addition | =B2+B3+B4+B5 |
Adds cell values using + |
| Horizontal Range | =SUM(B2:E2) |
Adds values across columns |
| Multiple Ranges | =SUM(B2:B5,D2:D5) |
Adds separate ranges |
Suppose the worksheet contains:
| Particular | Amount |
|---|---|
| Course Fee | ₹20,000 |
| Admission Fee | ₹1,000 |
| Prospectus Fee | ₹200 |
| Examination Fee | ₹800 |
=SUM(B2:B5)
=SUM(B2,B3,B4,B5)
=B2+B3+B4+B5
All three can produce:
₹22,000
Using SUM is convenient because you can total a range of values without manually writing every addition.
For example:
=SUM(B2:B20)
adds all values from B2 through B20.
If the data is organized in a continuous range, this makes the formula easier to read and maintain.
