Contact DSD EducationIf the Journal (which you learned in Lesson 2) is a chronological daily diary of every transaction, the Ledger is the filing cabinet where that information is sorted.
When you record a journal entry, multiple accounts are affected on different days. A Ledger groups all transactions related to one specific account in a single place so you can find its final balance.
Why it matters: If you want to know exactly how much cash your business has on hand at the end of the month, looking through 30 days of mixed journal entries is inefficient. Instead, you look at the “Cash Ledger,” which compiles every cash debit (receipt) and cash credit (payment) to show the final balance.
Key Concept: The process of transferring entries from the Journal to the Ledger is called Posting.
Once all ledger accounts are updated and balanced at the end of a period (monthly or yearly), the final balances are extracted and placed into a statement called the Trial Balance.
The Purpose: It lists all Debit balances in one column and all Credit balances in another. Because of the Double-Entry system, the total of the Debit column must exactly equal the total of the Credit column.
What it proves: If the Trial Balance tallies (both sides match), it proves arithmetical accuracy—meaning every debit had a corresponding credit. If it does not tally, an error was made during journalizing or ledger posting.

The ultimate goal of all accounting is to generate Financial Statements. These reports tell business owners, investors, and the government exactly how the business is performing. They are created using the finalized numbers from the Trial Balance.
Purpose: To calculate Gross Profit or Gross Loss.
What it includes: Only direct incomes (like core sales) and direct expenses (costs directly tied to producing the goods or services, like factory labor, freight, or raw materials).
Purpose: To calculate the true Net Profit or Net Loss of the business.
What it includes: All indirect expenses (like office rent, software subscriptions, employee salaries, electricity) and indirect incomes (like interest received from a bank).
Purpose: A snapshot of the company’s financial position on a specific date.
What it includes: The Balance Sheet does not show incomes or expenses. It only shows Assets (what you own) and Liabilities + Capital (what you owe).
The Golden Rule of the Balance Sheet: Total Assets must always exactly equal Total Liabilities plus Capital.
In traditional manual accounting, you must perform every step of this cycle by hand. If you make a ₹10 mistake in a journal entry, your Trial Balance will fail, and your Balance Sheet will not match. You would have to manually audit hundreds of entries to find the error.
