Contact DSD EducationThe foundation of modern accounting (and the engine that drives software like Tally) is the Double-Entry System. This system dictates that every single business transaction has two equal and opposite effects.
To record these effects, accounting uses two terms:
Debit (Dr.): The left side of an accounting entry. It generally represents what the business receives or expenses incurred.
Credit (Cr.): The right side of an accounting entry. It generally represents what leaves the business or income earned.
Rule of thumb: For every transaction, the total Debit amount must always equal the total Credit amount.
To determine exactly which account gets debited and which gets credited, you must apply the Golden Rules. These rules are tied directly to the three types of accounts you learned in Lesson 1.
Because Real Accounts deal with tangible and intangible assets, the rule focuses on physical movement.
Debit what comes into the business.
Credit what goes out of the business.
Because Personal Accounts deal with human beings, companies, and banks, the rule focuses on who is receiving and who is giving.
Debit the receiver.
Credit the giver.
Because Nominal Accounts deal with the cost of doing business and the revenue generated, the rule focuses on separating losses from gains.
Debit all expenses and losses.
Credit all incomes and gains.
When faced with a real-world business scenario, follow these three steps to write the journal entry without making a mistake:
Identify the two accounts involved in the transaction.
Determine the account type for both (Real, Personal, or Nominal).
Apply the Golden Rule for that specific account type to find the Debit and Credit.
Here is how the 3-step method works in action for common business scenarios.
Scenario A: Started business with ₹1,00,000 cash.
| Step | Analysis |
| 1. Identify Accounts | Cash Account & Capital Account |
| 2. Account Types | Cash = Real |
| 3. Apply Rules | Cash comes in → Debit |
| Final Entry |
Dr. Cash Account ₹1,00,000
Cr. Capital Account ₹1,00,000 |
Scenario B: Bought office furniture for ₹20,000 in cash.
| Step | Analysis |
| 1. Identify Accounts | Furniture Account & Cash Account |
| 2. Account Types | Furniture = Real |
| 3. Apply Rules | Furniture comes in → Debit |
| Final Entry |
Dr. Furniture Account ₹20,000
Cr. Cash Account ₹20,000 |
Scenario C: Paid monthly rent of ₹10,000 via bank transfer.
| Step | Analysis |
| 1. Identify Accounts | Rent Account & Bank Account |
| 2. Account Types | Rent = Nominal |
| 3. Apply Rules | Rent is an expense → Debit |
| Final Entry |
Dr. Rent Account ₹10,000
Cr. Bank Account ₹10,000 |
